Services: Upon acceptance, our company will perform the services described in the estimate. Any additional services requested by the client not discussed are not covered by the estimate and will incur additional charges.

 

Schedule: The services will be completed, and/or delivery of products will be made according to the estimated schedule. Both parties, in writing, will approve the schedule.

 

Changes: Changes to the delivery and performance of any products or services, including quantity, specifications, and scheduling, do not become binding until approved by both parties. Any changes may result in additional or increased charges.

 

Payment Terms: All invoices for services described in the estimate are payable within fifteen (15) days of the invoice date (i.e., net 15). We have no discount for early payment.

 

Late Charges & Interest: Overdue payments will incur statutory interest charged at 8% of the invoice total plus the Bank of England base rate.

 

Delivery of Work & Watermarks: Final work will only be delivered once full payment has been received. Until payment is cleared, any previews or drafts provided will include watermarks.

 

Card Payment Fees: If you choose to pay by card via an online payment link, an additional processing fee of 3.25% will be applied to the total invoice amount.

 

Copyright & Usage Rights: Until full payment has been received, all rights to the work, including usage rights for photography, videography, or other media, remain with Fellow Fox Ltd. Upon receipt of payment, the client is granted a non-exclusive, non-transferable license to use the final work as agreed. Fellow Fox Ltd reserves the right to use any work for portfolio, marketing, or promotional purposes unless otherwise agreed in writing.

Cancellation & Rescheduling: If the client cancels the project after accepting the estimate, a cancellation fee may apply based on the stage of work completed. If rescheduling is required, we will make reasonable efforts to accommodate, but additional costs may be incurred depending on the availability of our team.

Third-Party Costs & Licenses: If third-party assets (such as music, stock footage, or fonts) are required, the client is responsible for obtaining the appropriate licenses, unless agreed otherwise. Fellow Fox Ltd is not liable for any copyright claims related to client-provided assets.

Equipment & On-Site Shoots: For on-location shoots, the client must ensure that all necessary permissions and permits are secured in advance. Fellow Fox Ltd is not responsible for delays or cancellations caused by the lack of permissions or venue restrictions. Any damage to our equipment caused by client negligence will be chargeable.

Storage & Archiving: Fellow Fox Ltd will store project files for a maximum of three months after final delivery. After this period, we may not be able to retrieve files. Clients are responsible for downloading and backing up their final assets upon delivery.

Delivery Format & Method: Final deliverables will be provided in standard industry formats unless otherwise agreed. If the client requires additional file formats or physical media (e.g., USB drives, hard copies), additional costs may apply.

 

Data Protection & GDPR Compliance: Fellow Fox Ltd complies with all relevant data protection laws. Any client data provided to us will only be used for the purposes of fulfilling our contractual obligations and will not be shared with third parties without consent, except where required by law.
